01 / Sample Inspection Report

MS-DEMO-S01 · FICTIONAL EXAMPLE

Product
Pendant light

Quantity checked
1 illustrative sample

Reference
Fictional buyer brief v1

Scope
Agreed visual and dimensional checks

Overall finding: correction required

The required protective insert is missing. Measurement tolerance needs confirmation. A matching finish does not cancel the packaging issue. This sample does not establish future bulk-production consistency or electrical safety.

S02 · DimensionsApproved drawing and tolerance requiredRecorded length: 600 mm. Buyer has not supplied an approved tolerance.Needs clarification

02 / Bulk Order Inspection Report

MS-DEMO-B01 · FICTIONAL EXAMPLE

Product / batch
Sportswear · 1,000 units

Pre-shipment sample
200 units · 20% of batch

Nonconforming sample units
22 of 200 · 11%

Escalation
100% batch inspection required

Overall finding: hold for correction and full inspection

In this example, 11% of sampled units fail the agreed criteria. This exceeds 10%, so the batch requires full inspection. That inspection is pending: the batch is not cleared by this demonstration report.

Bulk order findings
CheckRequirementIllustrative observationFinding
B01 · Materials & components100% checks during productionDemo log: all 1,000 garment component sets checked against the agreed checklist; four rejected sets replaced and rechecked.Pass
B02 · Pre-shipment samplingInspect 20% of 1,000 finished units200 units inspected; 22 distinct units nonconforming = 11%. Trigger 100% finished-batch inspection; not yet completed.Nonconforming
B03 · Product correctionAgreed stitching and measurement criteriaStitching and measurement issues recorded in the sample; corrective action and reinspection outstanding.Needs clarification
B04 · Packaging & cartonsApproved packing specificationThree sampled cartons have incorrect units-per-carton labeling; packing list reconciliation required.Nonconforming
B05 · Marks & carton numbersMatch buyer artwork and numbering listDestination marks present; two sampled carton numbers duplicated. Verify the entire numbering sequence.Needs clarification
B06 · Uninspected balanceFull inspection after escalationThe remaining 800 units have not yet been assessed. Sample results are not a pass for the entire order. Not assessed

The full-inspection trigger is based on distinct nonconforming units, not the number of individual defects. Exactly 10% does not trigger the stated “more than 10%” rule, but does not automatically mean acceptance. Critical or safety-related concerns must be escalated regardless of percentage.

MAX Sourcing’s Bulk Inspection Workflow

  1. During production: 100% inspection of materials and components against the agreed checklist.
  2. Before shipment: inspect 20% of batch units. If more than 10% of inspected units are nonconforming, escalate to 100% inspection of the batch.
  3. Shipment conformity: check the products, packaging, cartons, shipping marks, carton numbers and packing-list requirements.

This is the stated service workflow, not a claim of AQL-standard compliance. The buyer and MAX Sourcing agree the inspection scope, defect criteria, testing methods and corrective-action process before work begins.

Evidence Register

A real report should link each finding to a dated record of the inspected goods. The entries below explain the evidence structure only; no actual evidence files are attached.

  • E01 — Product overview: item ID, model, inspected quantity and reference sample.
  • E02 — Measurement or defect detail: check ID, measurement method and close-up record.
  • E03 — Packaging and identification: packing arrangement, carton condition, shipping marks and carton number.
  • E04 — Corrective action: supplier response, replacement or repair, and reinspection result.

Questions for the Supplier

Illustrative follow-up for the findings above. Edit the wording to match your actual order before sending.

Scope and decision: Pass means the assessed item meets the agreed criterion, not that the entire order is defect-free. Needs clarification requires an answer. Nonconforming requires corrective action. Not assessed is never a pass. Laboratory tests, certification and regulatory compliance assessments require a separately agreed specialist scope. The buyer retains the commercial and shipment decision.
